Administrative & Program Coordinator

Position Overview:

The Administrative & Program Coordinator will play a key role in supporting the smooth functioning of various programs and administrative tasks within the organization. This position demands a highly organized individual with excellent communication skills and the ability to collaborate effectively with various stakeholders.

Essential Job Functions:

Organizational Administrative Support

  • Stationed at the front desk and interacts with visitors, vendors, and general public in person and by telephone; answers questions and program inquiries; coordinates visits to the agency; may support student check-in/check-out

  • Provides a variety of administrative support services to agency staff, and acts as resource hub regarding the functioning of the agency and technical support

  • Manages mail (picks up mail from post office 2-3x per week)

  • Answers the phone, checks King Street Center general voicemail box and assists staff with any phone/voicemail issues or onboarding

  • Assist with miscellaneous agency-wide onboarding and offboarding tasks, including account access, databases, VT Alert, name tags, etc. and orienting new hires with organizational systems such as Trax, King Street Center calendar, etc

  • Monitoring safety and security of children and families entering and exiting the building

  • Ensures clear communication of internal happenings, special events, and other announcements

  • Drops off bank deposits weekly

  • Occasional special event support, including internal events, community-based, and development-focused events

  • Manages room reservation systems and facilitates with scheduling as needed

  • Maintains files (invoices, banking, employee records, etc) weekly and assist with annual file system changeover

  • Maintains virtual King Street Center events calendar and ensures all staff have important dates and invites on their calendars as needed

  • Helps with planning and coordinating organization wide staff days 

  • Duties as otherwise assigned, may include seasonal happenings such as mailings

Program Administrative Support

  • Monitors the door to admit youth, families, and visitors in the building daily

  • Assist programs and visitors to check-in and out as they enter and exit the building

  • Tracks usage of office and program supplies and places supply orders as needed

  • Assists in the coordination of King Street Center van logistics and management, such as usage and scheduling process, onboarding/maintaining driver records, training, and other requirements, oversight of gas, parking and any other accounts associated with it, partners with other team members to ensure vehicle maintenance and processes are being followed by all team members

  • Manages King Street Center database, ensuring accurate and timely entry, updates, and maintenance of records for all kids, volunteers and staff 

  • Manages tracking system for signing in and out for youth and volunteers

  • Maintains awareness of activities within building and situations developing with children or staff; have knowledge of whereabouts of staff and children

  • Hand out meal bags for families 2-3 times / week at the end of the day

  • Assist programs as needed in coordination and operations of programming

Other Duties & Responsibilities:

  • Serve as backup to meal coordinator if/when needed

  • Provide general systems support for program staff including initial training

  • Work with Senior Leadership on projects focused on enhancing operational excellence throughout the organization

Qualifications & Experience:

  • Must be 18 years or older. 

  • Some experience working with youth or administrative support preferred, either in a personal or professional setting.

  • Must pass a criminal background check through the VT Child Care Development Division

  • Must have a valid driver's license and pass a motor vehicle report

  • Computer knowledge for use of workplace laptop to run reports

  • Must have good time management and organizational skills

  • Must be comfortable working in a youth setting, with children across various ages.

Physical Requirements & Conditions of Work:

  • Prolonged periods of standing, sitting

  • Mobility within the workplace with daily lifting or carrying of packages and other supplies

  • Must be able to lift 30 pounds

  • Some writing, typing, emailing and data entry (more than 50% of time)

  • Occasional noisy environment with children, family, staff and visitor interactions 

  • Interaction with children and families who at times exhibit some instability in their behavior

  • Some potential for risks to physical safety and security of the facility.

Relationships & Roles:

  • Officially reports to Senior Director of Operations

  • Interacts with other King Street Center leadership, staff, visiting educators, community service providers, transportation providers, special educators, volunteers and visitors

Employment Details:

Location: 100% on site (will be seated at front desk)
Pay: $20-24 / hourly 
Hours: Monday through Friday, 40 hours a week between the hours of 8:00am - 6:00pm with a 30 minute paid lunch break.
